Archivo Judicial is a background check report for Costa Rica 🇨🇷 that uses Archivo Judicial (Judiciary Archive) as source. This report can be customized by users and added to specific pipelines according to the available fields at Emptor’s dashboard. ⚖️🔍

This report accesses Costa Rica’s Archivo Judicial (Judiciary Archive), providing comprehensive coverage of judicial records and legal proceedings.

Although this report is based on a name search - the source requires an input of a Surname + Forename (in this order) to deliver results -, the addition of a document number should be sufficient for Emptor’s system to collect the name of the person being checked through the ID check validation.

To filter report results, Emptor offers a number of settings that can be customized by users to filter out results that are not relevant or incorrect. The available settings are:

Allow Lists are fields that can be filled out by users in order to filter out results found by the Report that are not important for the BGC process taking place, either because they are homonym cases, they cannot belong to the person being checked or for any other reason are deemed dismissible by the users.

Both lists have the same default setting since the name of the courts/offices that rule and the name of the subject matters of the processes are equal, or at least contain the same elements (ex. Juzgado Civil y Trabajo - the name of the court contains “Civil” and “Trabajo”, therefore it only rules over civil and labor cases).

This field relates to the date the person being checked is considered to be legally imputable under the country’s legislation. The default setting is at 18 years of age, that is, every process found by the search for which the start date is after the person being checked completed 18 years of age will be shown at the results.

We chose 18 years of age to be the default setting for this field considering that, in Costa Rica, 18 years of age is the age of legal majority.

If the Info Only checkbox is checked at the Dashboard the outcome for the person being checked will be INFO, that is, no review process will happen apart from searching for the name at the database and returning what was found according to the settings. The information will not go through a review process to determine if the person being checked PASSED or FAILED the report.

We chose to leave this checkbox blank in order to get the most accurate result for this report, that is, the default outcome will be passed or failed - after the manual review that this report requires if any records are found.

This setting allows you to ignore any record found that is older than a certain date, that is, if the record found by the report was opened/began prior to a determined year, it will not be taken into consideration for the final result, even if it matches all other settings and the information of the person being checked.

For example, if you want to disregard any record prior to 2007, you should add that year to the Max Record Age Years box at the dashboard and the report will not take into consideration any record that was opened in previous years (2006, 2005 and so forth) - even though they belong to the person being checked (no homonym cases) and are not under any of the allow lists disregarded matters.

We chose to leave this field blank in order to show all records found for a determined person that pass other settings set by users or by default.

This checkbox refers to the ignored records found outside the settings chosen by you or set by default for this report. If this checkbox is checked the report details will show the dismissed files that were ruled out during the process.

This report is specifically designed for Costa Rica and obtains data from Costa Rica’s official Archivo Judicial (Judiciary Archive).

To use the Archivo Judicial Report via Emptor Dashboard - if it is not yet added to a specific Pipeline - you should follow these steps:

  1. Go to the 🇨🇷 Costa Rica page at the Dashboard
  2. Click at the “Add Profile” button and select the “Advanced Mode”
  3. Check the box for the Archivo Judicial Report (and uncheck any other report), the dashboard will show you the configuration fields
  4. Fill out the Allow Lists and other settings you wish to customize
  1. After you customize all the settings you wish, click on the “Add and View details” or “Add Profile” button
  2. The report will be run and, if it is the case, sent to Manual Review process, after which you will receive an outcome with all the details available according to the settings you enabled
